SharePoint is Microsoft’s document management and collaboration platform that’s used by everyone, from SMBs to Fortune 500 companies for intranet creations, collaboration within an organization, streamlining business processes, and much more. More than just a platform, you’ll gain SharePoint advantages from their many offerings, such as SharePoint Online, the SharePoint Server, OneDrive for Business, and more.

For example, with SharePoint in the cloud, users can upload and disseminate files that can be viewed by anyone in the organization. Sites can also be created for easier sharing of data within an organization or with customers, and because SharePoint in the cloud can be hybridly deployed, secure information remains on premise while low-security data move around the cloud. There’s also a lot of customization, as you can use the out-of-box offerings or opt for a more personal approach that incorporates your brand’s designs and logo into everything.

You also have the option of creating communication sites for the sole purpose of spreading information. They’re so easy to create than anyone within an organization can do it, and will look good everywhere — PCs, Macs, and mobile devices. And by connecting SharePoint with Microsoft Office 365, your organization can get Office 365 features like email, application and storage for any connected device, be it a desktop, laptop or phone. You also have many backup options like a ‘secondary’ backup that stores everything that’s deleted for up to 90 days.

The point is that there are a lot of SharePoint advantages with near limitless capabilities, and that is exactly what we’ll be covering today.

SharePoint Advantages

SharePoint is considered by many to be one of the most productive and collaborative platforms out there. Let’s see why.

Centralization

With SharePoint, nothing is fragmented because everything is stored in a single place. Whether it’s hard drives, mailboxes, or external storage devices, everything is in one place and can be accessed and shared by everyone within the organization. You can store documents securely, track information, and collaborate like never before, all from one central location.

Seamless Work Environment

SharePoint creates a seamless work environment whereby everything is tightly integrated for a consistent user experience. Manual workflow processes can be automated to increase productivity and so that employees can focus on tasks that require greater attention.

Collaboration

We’ve already touched on collaboration, but we’re going to delve deeper for a better understanding. For example, you have end to end document management, in which you and your team can stay connected and track a document throughout its lifecycle. Files can be easily shared with other users, and multiple people can simultaneously work on a document at once. You have access to anything at anytime, and can track business activities like document reviews and approvals.

Final Thoughts and TL;DR

SharePoint is for you if you’re part of a small business or an enterprise. In case you don’t have the time for the full read, here’s the tl;dr version:
● Microsoft SharePoint is a document management and collaboration platform used by many
● With SharePoint on the cloud, you can upload and share files across the organization
● SharePoint in the cloud can be deployed with a hybrid approach in which more important and sensitive data is stored on-premise while less secure information remains in the cloud
● You can either use the out-of-box option or customize as your brand sees fit
● Communication sites can be created for easier collaboration
● Microsoft Office 365 can be integrated with SharePoint, a process that gives you the benefits of Office 365 in the SharePoint environment
● You also have a variety of backup options that prevent the accidental deletion of important data
● Centralization of everything, from hard drives to mailboxes, creates a seamless work environment that promotes collaboration

One final comment, do yourself a favor and pair SharePoint with your business.

We can all agree that one of the most bothersome plagues of the modern workplace is the deletion — accidental or otherwise — of a file that was not supposed to be deleted in the first place. Sure, it can happen to anyone, but when it happens to you, it feels like end of the world. It feels like you wasted X amount of hours working on something, only to see it get flushed down the toilet. More specific, it makes you feel like a schmuck. And when someone else does it, may divine intervention swoop in and save them, because saying that you will be upset is putting it lightly.

The problem is that at the end of the day, there’s really nothing you can do about it… or is there? As we’ll see today, when you’re working with SharePoint and Microsoft Office 365 you have a couple of backup options that are there to save the day.

Your SharePoint and Microsoft Office 365 Backup Options

First and foremost, the Administrator’s Recycle Bin will be your best friend. As this post explains:

“Unlike PC’s Recycle Bin, SharePoint Recycle Bin can store not just files and folders. It is a catch-all place for any user-created content that was deleted. That includes documents, folders, whole document libraries, SharePoint lists and even complete sites! So in other words, whether you delete a document from a document library, an event from a calendar, task from a task list, contact from a contacts list or even the whole SharePoint Site – they will all end up in SharePoint Recycle Bin.”

source: <span style="font-family: "cambria" , serif; font-size: 11.0pt; line-height: 105%;">http://www.offthecusp.com

It’s a simple solution that’s available for 90 days — plenty of time for you to remember that the file shouldn’t have been deleted in the first place. In essence, anything you delete, anything at all, will be stored in the Recycle Bin. And if you do a secondary delete and empty the Bin without realizing that there was a precious file in it, rest assured knowing that there’s a ‘secondary’ backup to save the day (a quick note, only the SharePoint Administrator can access the secondary stage Recycle Bin).

Another backup option that’s not really a backup option per se, you should always manage your security and permissions. For example, if a user only needs to view a file, minimize their permissions and don’t give them contribute privileges; if they do need to make edits, don’t give them full control. A similar preemptive action you can take is to set up alerts that notify you when a file is deleted. And as you can see below, the process is pretty simple:

1. Name the alert
2. Choose who to send the alert to
3. Choose a delivery method — email or text
4. Choose the ‘change type’ — in this case, it’ll be when an item is deleted
5. Edit your change type further and specify whether to filter alerts based on specific criteria — when anything changes, when someone else changes a document, when someone else changes a document created by me, or when someone else changes a document last modified by me
6. Choose when to send alerts — immediately, as a daily summary, or as a weekly summary

source: https://commons.wikimedia.org

Finally, if it’s the case there there are certain files that are especially important and you don’t want to even risk deleting, designate them as records, which essentially prevents their deletion. For some help with this, use this guide to set up retention and deletion policies.

Final Thoughts and TL;DR

Before we had the ubiquitous cloud — when things were physical and on-premise — an accidentally deleted file could be brought back to life with the help of the IT department and the regular backups they conducted. Many still do this, but many others bypass the pains that these backups entail.

Thankfully, with collaborative environments like SharePoint and Microsoft Office 365, where things are virtual and spread out everywhere, there are a couple of backup options you can make use of. We already covered these options, but if your schedule is packed and you don’t have the time for the full read, here’s the tl;dr version:

● The Recycle Bin and the secondary stage Recycle Bin will be your best friends
● Only the Administrator can access the secondary Bin
● Remember, you only have 90 days to recover files from the Bin
● Manage security and permissions and restrict what users can do
● Set up alerts to notify you when a file is deleted
● If the files are extremely important and you don’t want to take the risk, designate them as records to prevent their deletion

Best of luck!

source: www.collaboris.com

Communication in our world is vital, especially if the world we’re talking about is preceded by the word ‘business’. Even more, it seems that our demand for instantaneous broadcasting increases as we stray farther and farther from the delays in communication that marked the 20th Century. With instant messages and mobile phones within arm's reach, we’ve come expect ‘real-time’ to mark everything we do.

Thankfully, SharePoint is here to help us out with their communication sites that make spreading information a breeze.

SharePoint Communication Sites

Create beautiful, dynamic communication sites

First off, don’t worry if you’re not a savvy SharePoint user — SharePoint communication sites are very easy to use. For example, new sites can be created and shared by anyone within an organization in seconds by clicking on ‘Create site’ on SharePoint home in Office 365. Once you do so, you’ll be presented with three configurable template options for the initial site design:

1. Topic: Select this template when you have a lot of content to share (e.g., news, events, press release, etc.)
2. Showcase: Select this template when you want to feature a product, event or team member with photos or images
3. Blank: Select this template when you want to start on a blank slate

source: blogs.office.com

After you create the initial site, it’s time to create the pages. As you’ll soon see, you can select from single to multi-column layouts (and adjust), use dynamic web parts from other Office 365 services, add content and pull data from other services, and all-around customize as you please. In terms of organizing content, just drag and drop — that simple.

Some of the Tools You’ll Love from SharePoint Communication Sites

Moving forward, the tools at your disposal are perfect for designing sites for campaigns, upcoming events, product launches, and other situations in which you want to transmit a message:

● Section Layouts: Use single or multi-column layouts to arrange information on your pages (e.g., one column, 2 columns, one third left column, one third right column, etc.)

● Web Parts: Use web parts to pull content from other Office 365 services to your pages. Four such web parts that are particularly useful for audience engagement are:

○ The Hero web part highlights important information

○ The People web part showcases notable team members

○ The Events web part calls out important upcoming events

○ The Stream web part presents a gallery of videos from a Stream channel

○ Others include Power BI, News list, Bing maps, Quick chart and more

● Theming: Use theming to preview and style your site

● Top Navigation: Use top navigation to facilitate your users’ time on your site and make it easier for them to arrive at important pages you want to showcase

● Site Usage: Use site usage to keep up to date with how your site is doing; you can review reports, catch trends, find active readers, etc.

Final Thoughts, Extra Information and TL;DR

Because SharePoint communication sites are excellent for disseminating information (hence the ‘communication’ in the name), you’ll get the most out of them for events, product launches, weekly or monthly reports, or the like. And because their emphasis is on ease and immediacy, you know for a fact that your information will reach its intended audience on time, every time.

As for the extra information and tl;dr:

● Creating sites is simple and anyone within an organization can do it
● SharePoint communication sites look good everywhere — PCs, Macs and mobile (full sites, pages, news, navigation, search and more are natively functionable and engaging on all devices)
● Collaboration is simplified when you connect with Office 365 groups
● You can embed documents and videos, and dynamically pull data in real-time across Office 365
● Organization is simplified with drag & drop functionality

Good luck creating sites!
New Applications Coming to Office 365 Business Premium

Let’s get acquainted with the three new applications bundled with Office 365 Business Premium and, by extension, 365 Business.

Microsoft Listings

It’s a fact that a good way to get discovered is by listing your business online. Unfortunately, the listing process is time consuming. Here to help you out, Microsoft Listings lets you publish your business information on top sites like Facebook, Google, Bing and Yelp, and will help “get your business discovered online by new customers.” And when you update your information, the changes automatically occur across the different websites.

Microsoft Connections

Microsoft Connections is an easy-to-use marketing service that will help you “drive more sales with simple email marketing tools.” As we know — or should know — email marketing is of great use in lead generation and closing sales. Well, with Connections you’ll be able to create professional-looking email marketing campaigns, manage subscribers by segmenting them into different target groups, and track open rates, clicks, new sign-ups, new customers, and more.

Microsoft Invoicing

A very important part of running a business is time management. You have to get estimates and invoices out on time, and you also have to account for other things like pending payments and their processing. The problem comes when your information gets jumbled in all the different systems you have to use. With Microsoft Invoicing, you can create professional invoices and “get paid fast with hassle-free invoices and online payments.” It works with PayPal and, by using a connector to QuickBooks, can sync customer and catalogue data and even transfers invoicing information to your account.

Extra: MileIQ

MileIQ, Microsoft’s mileage tracking app (iOS and Android), will also be included with Office 365 Business Premium. This tool is especially useful for those whose occupation requires travel with their personal cars, such as those who make customer visits or attend partner meetings, as its automatic drive detection and mileage logging allows for a hassle-free experience.

Extra: Office 365 Business Center

Sort of an extra but not really, Office 365 Business Center offers a central location where you can manage your applications. It provides easy access to your business applications and data with a unified dashboard where you can view key metrics such as total outstanding invoices, number of appointments, invoices and payments being created or updated by employees, impressions and more. It also has an activity feed that lets you stay up-to-date with everything and, even better, once you connect an app and sync information, the same is automatically recognized in other apps.

“Build intelligent, mission-critical applications using a scalable, hybrid database platform that has everything built in—from in-memory performance and advanced security to in-database analytics.” - Microsoft SQL Server 2016

The Latest Microsoft SQL Server Features

Have you made the upgrade yet? If not, upgrading to the latest Microsoft SQL server results in brand new features and enhancements to previously included features from past versions, so you might want to make the switch. For example, some enhancements include:

● In-Memory OLTP (In-Memory Optimization): Performance for transaction processing, data ingestion and data load, and transient data scenarios is improved.

● Always On Available Groups (SQL Server): A high-availability and disaster-recovery solution that provides an alternative to database mirroring (for the enterprise).
There are other enhancements, of course, but because our main focus today is on the completely new, here are some of the latest Microsoft SQL features.

Always Encrypted

Always encrypted protects your most sensitive information, such as your social security or credit card number, that’s stored in Azure SQL Database or SQL Server database. It’s also perfect for encrypting data inside client applications without actually divulging encryption keys to the Database Engine. In this way, there’s a much-needed separation between the people who own the data and those who manage it.

Row-Level Security (RLS)

With RLS, users can control access to rows in a database table. Because this simplifies the design and coding of security in your applications, you can implement restrictions on data row access. This means that if you have a customer that needs access to certain data, you can opt to control their access to relevant data.

Stretch Database

Stretch Database allows you to migrate cold data (rarely accessed data) transparently and securely to the Microsoft Azure Cloud. Some benefits are that it:

● Provides cost-effective availability for cold data: Stretch warm and cold transactional data dynamically from SQL Server to Microsoft Azure with SQL Server Stretch Database.

● Doesn’t require changes to queries or applications: Access your SQL Server data seamlessly regardless of whether it’s on-premises or stretched to the cloud. You set the policy that determines where data is stored, and SQL Server handles the data movement in the background.

● Streamlines on-premises data maintenance: Reduce on-premises maintenance and storage for your data. Backups for your on-premises data run faster and finish within the maintenance window.

● Keeps your data secure even during migration: Enjoy peace of mind as you stretch your most important applications securely to the cloud. SQL Server’s Always Encrypted provides encryption for your data in motion.

Dynamic Data Masking (DDM)

Because DDM limits data exposure by masking it to non-privileged users, users can designate how much of their (sensitive) data to reveal. For example, you can choose to ‘mask’ every digit except for the last four of a social security number. It can also be used with existing applications and is complementary to other SQL Server security features, like auditing, encryption, etc.

Final Thoughts

The latest Microsoft SQL Server features offer you a lot more scalability, advanced security, and is supported by SharePoint Online. With it, you can:

● Develop intelligent applications for online transaction processing (OLTP)

● Protect sensitive data such as credit card or social security information

● Mask data to non-privileged users

● Keep data secure during migrations

● A lot more

If you’re still unsure as to whether or not you should make the upgrade, consider what Rohan Kumar, Director of SQL Software Engineering, and Bob Dorr, Principal Engineer of SQL Server Support, have to say:

“With our focused investment in performance and scale, simply upgrading to SQL 2016 could bring 25% performance improvement. SQL 2016 supports 3X more physical memory than previous versions.” - Rohan Kumar

“SQL Server 2016 running on the same hardware as SQL Server 2014, 2012, 2008, 2008 R2 or 2005 uses fewer resources and executes a wide range of workloads faster.” - Bob Dorr

Feel free to download the official Microsoft SQL Server 2016 eBook to learn more about what you can gain from it. Best of luck!

It’s time to talk about Build 2017. For those who don’t know, it’s Microsoft’s annual developer conference, and this year did not disappoint. In fact, Microsoft announced new tools and services they hope will help developers modernize existing apps and build more intelligent ones.

As Satya Nadella, CEO of Microsoft, said, “In a world of near infinite compute power and an exponential growth in data, we are focused on empowering every developer to build applications for this new era of intelligent cloud and intelligent edge.”Without further ado, let’s get to it.

The Latest Microsoft Services and How They’ll Help Your Business

One of Microsoft’s key discussion points was the abundance of information in our world and the opportunities to achieve it entails. To account for this, some of the latest Microsoft services are new Azure and AI services that allow developers to build intelligent apps with ease. More specifically, Microsoft announced:

● A preview of Azure IoT Edge, technology that extends the intelligence — and other benefits — of cloud computing to edge devices.
● Extensions to the Microsoft Graph to combine insights from the world of work with device insights and contextual awareness of the physical world.
● Technology that will allow you to search the real world in the same way you search the digital world, helping to keep your data safe and secure while making you more productive.

Improvements to Azure

To show how they’re helping developers be more successful modernizing and building new apps, a Microsoft service they announced was Azure Cosmos DB, “the industry’s first globally distributed, multimodel database service to deliver horizontal scale with guaranteed uptime, throughput, consistency and single-digit millisecond latency at the 99th percentile.” Built from the ground up, this Microsoft service offer developers the needed flexibility to develop apps for everything from AI to mobile.

Also announced are new MySQL- and PostgreSQL-managed services for the Azure SQL Database (promotes high availability and scalability to developers), a new Managed Instance private preview that offers customers SQL Server instance-level compatibility, general availability of Threat Detection and Visual Studio 2017 for Mac (allows developers to work across Windows and Mac environments with full support for mobile, web and cloud), and preview of Graph support. To help developers move their data, Microsoft also showed an early preview of their new database migration services that they hope will encourage developers to modernize their apps.

Office 365: Another Improved Microsoft Service

With over 100 million active users, it makes sense that Microsoft is improving Office 365 to better connect developers to customers. Exemplifying this, developers can now publish for Microsoft Teams, Office 365’s chat-based workspace, add new capabilities to Team apps (third-party notifications in the activity feed, Compose Extensions and Actionable Messages), and soon, apps in Teams will be more discoverable for end users.

They’re also making new Microsoft Graph APIs from Sharepoint Online and Planner available to developers, which give them access to Office 365 data and intelligence to help them build smarter apps. Developers and independent software vendors (ISVs) who host their production SaaS apps on Azure can now also have their apps’ data and workflow automatically extend to authorized Office 365 customers.

AI to Augment a Developer’s Capabilities

Our last subject today will be Microsoft’s aim to bring AI to every developer, thereby amplifying ‘human ingenuity with intelligent technology.’ In this vein, the tech giant added new cognitive services and custom intelligence capabilities such as vision, speech, language, knowledge and search into their app and bot experiences. Similarly, Microsoft launched the new Cognitive Services Labs that enable developers to experiment with new services.

Conclusion

In conclusion, whether you’re part of a startup or a large enterprise, the latest Microsoft services and tools will help any developer build smarter apps fit for the tech world we live in.

A relatively trivial update for some, yet a critically important change for others. Last month, Microsoft announced that the characters “#” and “%” will be now supported in file and folder names within document libraries for SharePoint Online and Microsoft SharePoint One Drive users.

What’s the Update All About?

Have you heard about the latest update to Microsoft SharePoint OneDrive for Business and SharePoint Online? Specifically, the one including support for # and %?

Well, according to Microsoft’s blog post:

“This will allow people to create, store, and sync files containing # and % characters whether those characters are used as a prefix or suffix to the file or folder name. # and % will be limited to use in file names in addition to SharePoint Online and OneDrive for Business document libraries and related folders. The use of # and % outside of document libraries is not supported at this time.”

You may be thinking, okay, so what exactly is the big deal?

The problem with using these particular characters is that for web developers and code editors alike, they represent more than just labeling. The # symbol can sometimes represent the end of a string in C, and the % symbol can represent a space between text within a page URL.
Don’t worry though, all of these dilemmas are apparently none to worry about. As explained by

Microsoft’s SharePoint development team:

“To remove the ambiguity around intention, and to avoid breaking backwards compatibility with existing APIs, we are introducing a strongly typed, rich-featured representation of URLs to better represent the true developer intention of a URL… Specifically, we’ve introduced a new class (Microsoft.SharePoint.Client.ResourcePath)… This class will be used to represent URLs across our APIs instead of string.”

Image Source: static.pexels.com

Long story short, in an effort to streamline this new direction of SharePoint Online character support, Microsoft is urging developers to evaluate their scenarios and the lineage of URL paths they have placed for existing solutions. In other words, developers will eventually have to switch to the new API (Application Program Interface) or suffer a multitude of consequences.

How is this Beneficial for Users?

People like having the freedom and functionality to be able to name files and folders as they please. The ability to use a # for numbers and relative hashtags within a document title, or the chance to use a % for percentages of work completion for a folder heading presents a tremendous opportunity.

According to Microsoft;

“Files are as unique as the people who create them and we’re constantly working in SharePoint Online and OneDrive for Business to support a broad array of types of naming conventions.”
The tech giant wants to give developers freedom to better express their intent in URL creation for these file destinations. Providing them with less regulations or principles to follow, can allow for better labelling and increased work functions.

One thing to note from Microsoft’s blog post, “While SharePoint lists and libraries can have # and % in their URLs, there are no plans to enable their use through the SharePoint user interface at this time.” This just plays more into the fact that the logic behind this change isn’t for end users, but for developers and their style accordingly.

The Wrap Up

Taking what we learned from some of the other latest SharePoint updates, one question comes to mind:

Is the addition of these characters worth the headache of having to implement a new API?
The answer? It’s entirely subjective.

Image Source: static.pexels.com

Some developers will appreciate the added functionality of naming and labelling for files and folders, while others will see it as an extra complicating factor making matters more difficult while throwing an extra hurdle in the process of coding.

We will definitely make sure to keep an eye on this and see how this update dictates the future of SharePoint library creations.

With technological advances and new digital innovations being released daily, we, as workers, are now open to a completely new realm of possibilities for on-the-go operations. With our mobile phones we can literally do anything and everything, but sometimes that’s not enough. Sometimes we need more.

The SharePoint Mobile App allows us to do just this.

A Quick Introduction to Get Us Started

We’ve all grown to know and love Microsoft SharePoint, especially its newest version, SharePoint 2016. For all those who aren’t exactly sure what the latest features are, or what this application even is, here’s a quick definition from Microsoft themselves:

“Organizations use SharePoint to create websites. You can use it as a secure place to store, organize, share, and access information from any device. All you need is a web browser, such as Microsoft Edge, Internet Explorer, Chrome, or Firefox.”

SharePoint itself is a name umbrella for other products and technologies such as SharePoint Online, Server, Foundation, and Designer. More importantly, SharePoint Online gives employees within an organization the ability to create and share sites, documents and information. The SharePoint mobile app enhances these functions and is consistently receiving upgrades to become more and more user friendly.

Let’s explore the latest is surrounding the app’s most recent tweak, announced this past March.

What’s the Update All About?

The iOS app is finally getting some attention. According to CMSWire, “This time, Microsoft is giving most of the love to the iOS app, which now enables users to author news and publish to their team members while they are on the go. Users can add a title, body text, images, embed documents, format it and publish it.”
iPhone users aren’t the only ones who are going to be delighted. Android is receiving a nice little feature as well. What is it, you ask? It’s Team News.

Image Source: support.office.com

Already a fixture on the iOS app, Team News keeps workers in the loop through team site updates and posts in a full display on Android devices. According to Microsoft, “The News tab shows the most recent articles from your sites you’re following and frequently visit along with sites suggested by Office Graph.” And “When you tap a news headline from the Sites tab or the News, you’ll see the full article complete with web parts, including images and embedded documents.”

Why Include These Features?

Why add these features to Microsoft SharePoint? Simple, Microsoft wants on-the-go workers to be able to access content on their intranet sites. The whole theme of quick access is exactly what the developers and creative minds at Microsoft are striving for.
Giving workers access to in-office features, outside of that setting, does and will continue to increase worker efficiency. A good idea shouldn’t have to wait for the workplace, it should be shared at any time.

What are the Benefits?

As we touched on earlier, increasing functionality for mobile applications will allow workers to be that much more productive.
For iPhone users, giving workers the ability to author news on the go is an incredibly useful feature. Having the Team News feature allows Android users and workers to fully immerse themselves within their company’s day-to-day activities. Not having to wait and go back to your desk for small work tasks also functions to boost productivity and performance levels.

The Wrap Up

The opportunities available for the SharePoint mobile app are virtually endless. With more improvement updates coming from mobile operating systems, we can only expect to see a continuous climb for aspects of functionality. Providing quick access for moderately essential features will continue to be at the forefront for motivation of what is to come next. Are you excited yet?

As marketers, we love the idea of data discovery and presenting it in a way that can be easily understood. For the past year or so, Power BI has allowed us to effectively prepare data and turn it into interactive visualizations. However, for us SharePoint users it has been agonizing to integrate these Power BI reports… until now.
As per a Microsoft Blog posted in early February, “The new web part we are releasing today enables SharePoint authors to embed Power BI reports directly in SharePoint Online pages with no code required!”

What’s Power BI?

Released in July of 2015, Power BI is a dynamic cloud-based service that gives report analysts the ability to distribute insights from their business’s data through visualizations. It’s essentially Microsoft’s way of allowing users to transform information into graphs and other powerful ocular representations.

And Microsoft Did This Because...

Well, Microsoft did this because SharePoint Online is an essential managing platform for a large amount of enterprises. The fact that users couldn’t effortlessly consolidate visualizations from this software also persuaded Microsoft into realizing this may be something to explore. All of this in an attempt to continue making Microsoft SharePoint a simple yet powerful platform to work with.
With no further ado, let’s go over some of the key benefits from this update.

How is This Done?

Microsoft shares the exact process of embedding on their official blog post. For a quick run down, the procedure is pretty straightforward. It’s as effortless as publishing a report, adding the Power BI web part to your SharePoint Online page, and pasting the URL of your report when directed to do so.

To the Rescue

The ability to not only visualize data but to also share it with your organization in a seamless user experience is exactly what this integration is all about. Microsoft is giving every SharePoint-using corporation the insight it needs to strategically communicate and disseminate vital information.

Image Source: static.pexels.com

Another accessibility feature that’s mentioned within the article is this idea of convenience through a single sign-on. Taken straight out from the official release blog:
“…a core focus of our web part is seamless integration with SharePoint Online to achieve a single sign-on experience. The web part works with new authentication features in SharePoint Online available now within the 365 First Release program. The new authentication capabilities enable the Power BI web part to use single sign-on – so by default users will not be prompted to sign-in to Power BI. Multi-factor authentication may require the user to sign-in again, if they didn’t use a security device when signing in to SharePoint.”
This is just frosting on the cake of simplicity. In addition, Microsoft has ensured that all security checks are applied to reports. This includes enforcing data security through Power BI itself, almost guaranteeing secure internal portals for the enterprise to show data. With highly sensitive information being displayed, it only makes sense that reports won’t be automatically available for everyone.
There is one drawback, however. According to Microsoft: “The Power BI report web part requires all the viewers to have a Power BI Pro license. If your users don’t have a Pro license, they’ll be directed to PowerBI.com where they can enroll or start a Pro trial.”
If this stays this way, it can mean fewer users who get to experience this new feature from Microsoft.

The Wrap Up

These latest SharePoint updates lead us to believe that Microsoft is attempting to make our lives simpler, one renovation at a time. If they can change the Pro license requirement, this web part can and will be an integral part of our data representation techniques.
Why Microsoft Introduced this Project

SharePoint is Microsoft’s document management and collaboration tool. Seeing that the Intranet was the focal point of many organizations, Microsoft introduced SharePoint for Intranet a couple of years ago as a place where employees could connect with each other and turn to for company news, information and content. It improved internal communication, reduced email overload, and created a forum for non-work related socialization. As part of the latest SharePoint updates, Microsoft introduced SharePoint in the cloud for Intranet, an innovative solution that offers companies a low-cost alternative to on-site deployment of Intranet.

Microsoft SharePoint in the Cloud for Intranet

With the cloud based Intranet that SharePoint provides, users can upload files to OneDrive for Business, an online document library, and access them anywhere. It’s also very easy to use. Michael Feather, Head of Business Change at the Family Business Society, said, “the simplicity means our employees can communicate quickly without being snowed under by email.” And because it’s a web platform, anyone in the organization can access the files and collaborate. In other words, this efficient and secure document management system allows users to plan automated document creation workflows in which changes pass on from contributor to contributor until the review process is complete. Apart from this peer-to-peer collaboration process, traditional top-down communication directives, in which managerial hierarchy and the methodical transfer of information is emphasized, is also allowed.
Some of the other features included are search capabilities, client management system (CMS), news, employee directories, personalization options, team collaboration spaces, blogs, wikis, and more. It’s also bundled with Office 365 applications, so integration of Microsoft SharePoint with other Office 365 applications creates an easy way to export and share data. It’s scalable, so it can expand or retract as needed, and included in the latest SharePoint updates is a mobile app that allows users to stay connected to important information and people from the company Intranet, on the go.

Advantages of SharePoint for Intranet in the Cloud

An advantage of SharePoint for Intranet in the Cloud is hybrid deployment, in which secure information remains on premise while everyday and low-security files move to the cloud. This offers a huge benefit for large-scale enterprise information management because it can take over backups and recovery duties, greatly reducing dependency on third-party solutions. And because files are in the cloud, shared documents are easy to access remotely and no time is wasted searching for emails or internal documents on a central network drive.

One of the biggest advantages of Microsoft SharePoint in the cloud is its customizability. You of course have the option of making use of the out-of-box offerings, but by designing it for your business with user experience in mind, you can make it visually pleasing by incorporating your brand’s designs and logo, elevate the visibility of commonly used applications, websites and pages to create easy and simple navigation, and customize how and when your organization receives new SharePoint updates and features. Moreover, you can customize your company’s Intranet in the cloud with corporate goals in mind to streamline the whole process.

The Takeaway

MediaRich ECM supports over 450 image, video, audio, Microsoft Office, drawing (SVG, WMF, IMF, EMF), and RAW camera file types. It covers Photoshop and Illustrator files, lets you work in the original file format (of any size), and then create media templates to convert groups of images or videos into all mediums. Metadata is also automatically indexed when images are uploaded into the system, saving you a lot of time.

One of MediaRich ECM’s key features is InstantOn, which works with any document library or asset library. There’s no need to load assets into a new library with InstantOn; you can see instant thumbnails from any browser, including mobile, in the location of the files themselves. You can essentially view any document without using third-party plug-ins or actually needing to download them. You save time and bandwidth by previewing the files instead of downloading them.

Another feature is the UniZoom viewer. With it, you don’t have to download large files to see them. You can view 300MB+ files across multiple devices with “read only” capabilities. The UniZoom viewer works on all browsers, across multiple devices, has universal, multi-page zoomm pan technology, and gesture support for desktop and mobile devices. The MediaBatch uploader also bypasses the standard 2GB upload limit. You can upload thousands of files at once, and once they’re in the system, you can inspect them on any platform.

You’ll notice an immediate improvement in user experience when using the Microsoft SharePoint 2016 Application with MediaRich ECM. It has a responsive design based on device and screen resolution, and resized controls that allows for full-page viewing on all screen sizes. The UniZoom viewer also optimizes viewing and provides seamless video playback. You’ll only need to store files in SharePoint, and can then view them anywhere, even over low bandwidth. With automatic multi-video for HTML5 browsers, you also have multiple device playback and full size or screen viewing, all without third-party plug-ins. You’ll be especially impressed if you work in construction, engineering, manufacturing, architecture, or other industries that utilize blueprints and large files. You can weave through libraries of PDFs and drawings in a single viewer, without having to download them. MediaRich ECM also expands SharePoint’s utility and minimizes the time needed to search, modify, rearrange, and distribute media assets in a single portal. You’re able to download files in bulk, create derivatives, and deliver them in all formats without altering the original file.

“MediaRich extends our SharePoint platform and provides all the capabilities we needed, from view anywhere technology, MediaRich’s seamless visual integration along with SharePoint’s version control and publishing libraries, so we now have the best of both worlds…” -Sam Rhodes, IT Manager, Business Print Australia
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">When Microsoft released the SharePoint Server this year, the team understood they were just laying out the foundation. They wanted SharePoint to be tested and edited so that it could improve. The new Microsoft Feature Pack SharePoint 2016 are the enhancements users have been waiting for. They have made these new additions to help drive innovation and productivity for your business. The latest SharePoint updates made by Microsoft are truly user-centric because they took the direct advice given to them by users for these updates. Here is a run-down of what the Microsoft Feature Pack is and what these new improvements mean for your brand.
<span style="font-family: "arial" , "helvetica" , sans-serif;">The Microsoft SharePoint 2016 Application sought to make collaboration and productivity better through cloud based technology. The newly released Feature Pack has put forward all the feedback given by consumers to create an even better platform for your business. It includes new features for administration and puts user experience at the forefront of the operation. These upgrades give you more flexibility when it comes to keeping track of your data, managing your business, and interacting with others.
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">New Capabilities for Admin
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">Administrators spend large amounts of time dealing with the nuts and bolts of the business. What the Microsoft Feature Pack SharePoint 2016 aims to do is to help admin in their daily tasks by adding more detailed logging of their actions. Bill Baer, who is the senior product manager for SharePoint writes, “We have added logging around key SharePoint administrative actions performed either through the SharePoint Server 2016 Central Administration website or through the SharePoint Server 2016 Management Shell.” Their goal is to make troubleshooting less troublesome by providing a more comprehensive history of your actions.
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">Hybrid Auditing
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">This is another feature that gives administrators the ability to gain detailed insight as to what’s going on in their businesses. Hybrid Auditing gives administrators the ability to access multiple reports and dashboards in Office 365, which are produced from SharePoint 2016 Preview. These reports are based on on-premise diagnostic and usage logs so you can view patterns you business’ SharePoint server farm.
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">Benefits of this feature
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">The new MinRole enhancements are just what users have been asking for. Previously, MinRole was created to service larger farm topologies but with the new update, you can access these benefits on a smaller scale. Instead of eight servers being the requirement for a high availability MinRole configuration, the Feature Pack allows you to do the same thing with just four server roles. They have been optimized for small and medium sized farms because of the additions of Front-end Distributed with Cache and Application with Search. With this new update, the Microsoft Feature Pack SharePoint 2016 now services a wide range of sizes with MinRole farms.
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">Being able to store, manage, and edit your work files all in one place while sharing them with your team makes OneDrive for Business a key feature in Office 365 and SharePoint Server. The new Microsoft Feature Pack SharePoint 2016 allows you to add a little more personality to your work by creating your own custom tiles. They can lead to anything your business wants from already existing apps in Microsoft SharePoint and Office 365 to external sites. <span style="font-family: "arial" , "helvetica" , sans-serif;">In a Nutshell
<span style="font-family: "arial" , "helvetica" , sans-serif;">

<span style="font-family: "arial" , "helvetica" , sans-serif;">The Microsoft team understands that innovation is an ongoing process, which requires updating.

Microsoft Dynamics 365 has been created to increase the productivity of a business by becoming more specific. Businesses can choose which areas to focus on from sales automation to customer service and select from various apps to address the particular needs of their unique consumers. Dynamics 365 will be able to service people in over 40 different languages as well as in 135 different market places. In order to better understand Dynamics 365, here is a breakdown of how Dynamics 365 can help your business.

1.What is Microsoft Dynamics 365?

Microsoft has created a platform which combines CRM and ERP services into a single entity that is now known as Microsoft Dynamics 365. CEO Satya Nadella wanted to show how a focus on combining CRM and ERP could change the way businesses and consumers buy and use business apps. AppSource is one of the main contributors to the flare of Dynamics 365 but the integration of artificial intelligence into the system has become a huge talking point. Earlier last month TechCrunch Noted, “It’s been designed as a stand-alone service that can work with any of the Dynamics 365 CRM components-sales, customer service, or field service - and can also work with any external CRM tool with open APIs.”
This also means users who are using the Microsoft SharePoint Application, Office 365, or other Microsoft tools can access the AI services. Power BI and Cortana, according to the Microsoft Blog, “Will further help businesses achieve their goals through predictive insights, prescriptive advice and actionable next steps.” Similar to Office 365 and Microsoft SharePoint, Dynamics 365 seeks to simplify the integration and management of data across various applications.
2. How Is It Different?

What makes Dynamics 365 intriguing is the introduction of Microsoft AppSource. What the Microsoft team has done is become more specific with their apps. They are now designed to work efficiently not only together but independently as well. The Microsoft Blog notes how your business can start small and pay only for what you need. “The apps include built-in insights, predictive intelligence and workflow optimization, all of which will be delivered through simple, easy-to-use, mobile experiences with offline capabilities.”
Another feature available to businesses is over 200 SaaS apps which also have add-in’s and content packs ready for use. Microsoft Dynamics 365 also allows you to create new applications while still being able to edit and enhance old ones. The vast amount of resources made available to businesses on this platform help to make collaboration easier and increase innovation.

3. Other Special Features

Another feature Microsoft is making available is the ability for small businesses to tend to their business needs as much as larger ones. There is Dynamics 365 which caters to small businesses of about 100, and one for enterprises. The same applications are accessible to both however, Dynamics 365 for enterprises places a large emphasis on ERP. This allows a larger range of business owners to interact freely with Microsoft Dynamics 365 because the nature of their small or large business will be recognized.
Microsoft is also allowing consumers to a licensing choice based on the access requirements of a business. If you find that one person needs to be able to use the service there is an option for a single team member which has certain restrictions. However, if you find your business to be on the opposite side of the spectrum and need group access you can license through a plan to gain access for everyone.
Microsoft Dynamics 365 seeks not only to make business processes easier, but to help encourage creativity and innovation. Much like the latest SharePoint updates, these new additions are to provide your business with the best possible tools for success. Here’s a recap of the most important points:
The Dynamics of Dynamics 365
<span style="font-family: "arial" , "helvetica" , sans-serif;">Microsoft Office 365 Groups Integration

<span style="font-family: "arial" , "helvetica" , sans-serif;">Microsoft explained in their announcement;
“The integration of groups and
SharePoint team sites means that any time a new team site is created, a new
group membership will be created as well.” Microsoft explains; “When you create a group, Office 365 gives the group a shared inbox, calendar,
OneNote notebook, a Planner for task management.” The update now also
includes a full-powered SharePoint team site where now each added group gets
a plethora of new updates revolving around features like adding new web pages,
document libraries, etc. There are some other interesting details included
with the update announcement:

<span style="font-family: "arial" , "helvetica" , sans-serif;">Redesigning of the team site

the team site, the group card will be shown.

<span style="font-family: "arial" , "helvetica" , sans-serif;">Addition of quick links now
makes inserting content into your team’s site that much easier.

<span lang="EN-US" style="font-family: "arial" , "helvetica" , sans-serif;">Microsoft SharePoint is a web based collaboration
and document management platform, which allows enterprises to host files,
manage documents, and collaborate on projects. SharePoint’s ability to store,
archive, and manage documents while also allowing workers to collaborate on a
document in real time gives the application a flexibility to fit any
enterprises needs. One of the new updates is the addition of Microsoft Flow to
SharePoint online. Microsoft Flow is an application, which automates workflows
and makes managing information much easier because the application cooperates

How would you feel if that creep from the office had looked through your contract to find out what you earn? Would it bother you if anyone other than your direct manager could read your performance review? What would it look like if your company’s customer details or information about a merger were hacked?

SharePoint is an amazingly powerful tool which, when implemented correctly, is perfectly secure. However, that’s the catch: it has to be implemented correctly. We love SharePoint because it’s so amazingly flexible, and this flexibility basically allows you to deploy it in almost any way you want. However, this feature is a double-edged sword – people often implement SharePoint in a risky manner, and open their organizations to the danger of leaks and hacks.

Why you need to be aware of SharePoint risks

Not convinced that having a security policy is such a big deal? Think again.

A recent survey of 1000 SharePoint users found some pretty surprising results. 34% of respondents admitted that themselves or their colleagues had, at some point, looked at documents they weren’t supposed to read. Of those who had, 23% had looked into their colleagues’ salary information, 34% had looked at other personal details and 8% had discovered secret information about mergers and acquisitions. Respondents also shared information they weren’t supposed to, either by putting it on USB sticks or sharing it with themselves via email.

Perhaps most worryingly, a lot of companies don’t have any kind of strategy for dealing with security. Research by Emedia revealed that a staggering 22% of organizations have NO information security policy:

As Emedia’s research shows, only 1/3 of organizations actually have a comprehensive and up-to-date security policy to protect themselves against data breaches.

Why is all of this a problem?

If you don’t have a comprehensive security strategy, you’re opening your company up to a lot of risks.

Privacy

It goes without saying, but most employees would feel violated if they knew anyone in the business would be able to see their personal information. Even if they had ‘nothing to hide’ the simple fact that their colleagues could discover private information without asking them directly would make many people feel uncomfortable.

Leaks

Another major risk for organizations without a strong security policy is that information may be leaked by employees with an agenda or who want to damage the organization in some way. While it’s true that SharePoint wasn’t at fault for the Edward Snowden leaks at the NSA (lax security was to blame), it does show how even a technically advanced organization can be vulnerable to internal attacks. Without a strong security policy, your organization’s plans, trade secrets and strategy could be shared with competitors and undermine your market position.

Hacking

Almost any organization worth its salt is at risk of hacking. If a hacker is determined, they may well find a hole at some point in your company’s security – even if you have a well maintained firewall. However, those organizations who have developed ‘defense in depth’ will always be able to limit the impact of such attacks. Even if a hacker ‘gets in’ with a valid user name they’ve acquired, they’ll only ever be able to see what that user had access to. If your company doesn’t have a well maintained internal security policy and allows anyone to look at any document, you may as well fling the doors wide open.

Compliance

You might still not be convinced that any of the above reasons are enough to make you improve your SharePoint security strategy. However, you never really had much of a choice anyway. There are a range of regulations around the world which, to some degree or another, will force you to treat and manage the data your company collects in a secure manner.

The European Union's General Data Protection Regulation (GDPR) will be coming into force over the next couple of years. It will basically affect any company that ever treats the Personably Identifiable Information (PII) of individuals from the EU – whether they’re customers, clients or employees. The rule will force companies to implement strict data management policies to reduce the chances of private data getting into the wrong hands. And if you don’t comply, expect a hefty fine – either 100 million Euros or 5% of annual turnover – whichever is greater.

Get smart

SharePoint security needn’t be too hard, though. Fortunately, there is software out there, such as Sharegate, that makes SharePoint security management very simple. If you properly manage SharePoint’s security, you’ll massively reduce your chances of losing vital information, secrets and being fined by international organizations. Secure SharePoint management doesn’t require a HUGE effort, just a little planning and preparation. If you make up one of the two thirds of companies that don’t have a comprehensive strategy, ask yourself “why not?”.

You might have read about the SharePoint 2016 updates in my previous blog, here I am back with some more important highlights and facts about the SharePoint 2016 such as its preview version, launch date, usage, advancement, applications, features as well as answers to some basic queries of the users.

As we know Microsoft has released SharePoint 2016 Preview on August 24, 2015 to test the features of original SharePoint 2016 which will become usually available in 2nd quarter of 2016. Let’s have brief look on SharePoint 2016 features and what makes it different from its previous version. SharePoint 2016 will focus more on better user experience, cloud hybrid infrastructure, compliance & monitoring and many others.

Better User Experience - SharePoint 2016 will be most likely similar to SharePoint 2013 but with more people centric feature. By improving the user experiences with the use of innovative technology such as, it will provide improved touch based experience across all the devices, mobiles, and tablets. While emphasising more on one drive for business, which means place where all the files you are working with are stored and accessible from anywhere. A personal online storage space just like “Dropbox”.

Cloud Hybrid Infrastructure - SharePoint server 2016 updates allow users to avail advantage of cloud hybrid capabilities. By providing all-in-one facility to all the users who are working in different environment. It means, with the help of a true hybrid index users can get search results from Office 365 and SharePoint 2016 as well as SQL Server together with cloud data commonly in a single index.

Compliance & Monitoring -With every new version, SharePoint provides better authentication and security features so that content can be shared securely and safely inside and outside of the organization. Same with the SharePoint Server 2016- It ensures better security and monitoring facility than the previous version and with investment in DLP (data loss prevention) information remains protected i.e. in earlier versions DLP was negotiable, schools and organization doesn’t pay much attention but now it’s compulsion for all to make sure that confidential information remains protected.

These are some SharePoint 2016 features, now let’s have a look on to solutions of some common questions of the users which arise in their minds before installation of SharePoint 2016 preview

Which Browsers are Supported in SharePoint 2016?

SharePoint Server 2016 IT preview supports all the popular browsers like latest versions of Internet Explorer i.e. 11 & 10. All versions of Microsoft edge, latest versions of Google Chrome, previous to latest and most recent versions of Mozilla Firefox, latest released version of Apple Safari. But all the features do not work in all the above browsers and their different versions.

What are the Minimum Specifications Required?

Hardware requirements are –

As the world is moving towards
cloud based technology, Microsoft is planning to release yet another product
SharePoint server 2016 in the next year which will give a new outlook to the
SharePoint technology. The SharePoint server 2016 will be released in Q2 2016,
with a public beta planned for Q4 2015. It is the next version of SharePoint
Server which is inspired by cloud technology and will help to unify the servers.
At the same time, hybrid deployments of SharePoint Server with Office 365 will
be possible through cloud innovation.

It is assumed that “SharePoint
server 2016 can be all or one thing” meaning, it will be the server
experiencing all kind of features including file repositories, providing
various BI (Business intelligence) . So, everything will be available at a
single place for the user.

With SharePoint 2016, Microsoft is
moving various technologies into cloud such as Delve, clutter, groups, and is also
introducing a new layer rather than keeping all services separate. Moreover,
Microsoft is also planning to add new experiences to the server 2016 by making
it more social and mobile, and enforcing machine learning capabilities. The
main improvement which will be introduced in SharePoint server 2016 is SharePoint's
Files, Content Management, Sites and Portals.

Portal will now be mobile enabled
and will be more simplified for the end users. Search improvement in the
SharePoint will be Delve based on office craft technology and will have
governance control for IT department. Files in SharePoint 2016 will be improved
with one drive for business (previously it was My Documents). The improved
files will help in mobile data management and prevention of data loss.

In addition to this, SharePoint
2016 will now be more consistently code based, which will help in filling gaps
between offline and online products. Another important feature is patch with
zero down time. A super exciting feature.

Continuing with the more features;
SharePoint 2016 will also be adding server role installation wizard, while new
compliance reports with role based installation will be added in the product.

Last but not the least, server
will have inbuilt health analysers which will keep track on road as provision
in SharePoint form.

Few Requirements for SharePoint
server 2016-

OS requirement for SharePoint
server 2016 will be Windows Server 2012 R2 or "Windows Server 10 In
addition to this, it also requires Windows Server App Fabric 1.1 but it will be
deplored next year. For the time being it will be supported in the SharePoint
2016.

Whenever it comes to the enterprise applications like ERP, CRM or any financial software etc. small organizations have this misconception that it is supposedly only for the large corporations mainly because of the development and implementing cost attach to these software. But the truth is, today the software development market has grown so far that it has bridged all the barriers between the customers and developers and has given technologies which are most cost-effective, realistic and delivering the goal and custom developed applications.
In today’s post we will discuss why .Net and SharePoint are the right platform to develop these enterprise applications in more cost effective and realistic way. Enterprise application development in .NET and SharePoint platform is might considered as the easiest way to implement it but it also got the toughest job is to find the correct partner to develop these applications in the system. For any company to develop their own enterprise class application, requires the partners to have a team those are capable of delivering the application as well as also understand the requirement and design of the application in a manner that it helps the organization to grow efficiently and also show a financial growth.

In this SharePoint is a platform and not an application which has proven to be really effective when it comes to enterprise applications. It has great features which provided organizations the potential to develop yet many applications to work around. Like it provide features like contracts management capability, a social computing capability etc. In Social computing capability you have blogs, wikis, microblogging, discussion boards etc. which gives you a platform to discuss, brainstorm within the organization.
On the other hand, .Net and ASP.Net controls and helps in building intuitive and feature rich applications for any web-based browsers that enables your business to make a positive impact. We also need to understand, SharePoint is a platform that sits on top of over the ASP.net. They do override a lot of ASP.net built-in functionality but with ASP.net you have a very well documented, battle-hardened, mature and stable platform with a good API. But SharePoint isn’t a replacement.

If an organization choose an application that uses .Net framework for the development of apps on SharePoint and web services it’s rather more beneficial because it provides wide support for web services development and it makes it possible to develop secure, scalable, robust and fast web services in short span of time.

Therefore, developing enterprise class applications with the nuances of the .Net and SharePoint application development platform can design and develop a robust, secured and customized enterprise application development for any large, medium or small enterprise that will not just increase the efficiency of the operations but will be bring the profit in short span of time too.
According wiki’s definition Yammer is a freemium enterprise social network service that was launched in 2008 and sold to Microsoft at 1.2 billion in 2012. Yammer is a remote communication mode in between the organization. With a Yammer, you’re always connected to your coworkers, and can take part in the information flow and conversations. Get into your network to find what exactly you need and determine or find out that you didn’t know to make decisions quickly, and later get the work done and keep moving.

Today social media networking is not just making an impact on our day to day life but even organizations are taking big decisions over these enterprise social networking. According to Gartner, over 75% of Fortune 1000 companies will undertake some kind of online social-networking initiative for marketing or customer relations purposes by 2014. In today’s article we will discuss why Microsoft bought Yammer and what is the relation between Yammer and SharePoint 2013.

When we talk about SharePoint 2010 its features and social networking were pretty elementary. At this point of time many organizations felt embarrassed and had turn to other third party vendors like Yammer and NewsGator for the social networking within the organization. But here buying Yammer gave Microsoft that insight of being a cut-throat competitor in the enterprise of social space and was an indication to the market that they are willing to take any bold steps when it comes to business. Yammer has been adopted by many organizations and brought fortune of experience around this social enterprise. Before that social functionality was almost in a nonexistent state when organizations were using SharePoint 2010 and here Microsoft buying Yammer into the industry showcased an impact and presence where they were desperately needed to make big moves.

But when SharePoint introduced 2013 they actually learnt from their previous mistakes and they came with a portal integrated with fully advance features and social networking. Personally speaking, you won’t find any major difference if you compare Yammer and SharePoint 2013. However, SharePoint 2013 has extended all the social media features which allows you to create community sites, post micro-blogs, use hash tags with #, and mention colleague’s name with @ and communities etc.; but if we compare it with Yammer or NewsGator its still require more of improvements and advancements.

The biggest advantage of Yammer over SharePoint is cost effectiveness. Yammer gives free networking, collaboration. You can access Yammer from anywhere. But with the fall of 2013 it got integrated with SP 2013 to provide more connections and features. Although, there isn’t a much clear story about this integration of Yammer and SharePoint 2013 experience. If I like to contribute in this personally, I can see Yammer, Office 365, and SharePoint Online integrating really well and have lots of potential in becoming a dynamic, collaborative social online environment.

However if we look further deep into this, for the clients who are using on-premise installations of SharePoint, they will either end up with some unrealistic Yammer integration paired with overpowering SharePoint social features, or may be SharePoint social features on their own. For organizations that have yet to dip into any significant enterprise social technologies, SharePoint 2013 will likely be sufficient as they wade into the social enterprise space.
Nevertheless, it’s always sensible to go for any technology first looking at your work culture and notion. If it’s fit into the ideology and seems cost effective and have the capabilities to make your system seamless then one should go for such technology without thinking twice. At the end I am just leaving an open ended question for you all; so which will you use? Yammer, or SharePoint 2013 Social?
In this, one of the feature is SharePoint Newsfeed. It is nothing but a form of social media for the enterprise people which helps users to stay in touch with their enterprise social network on SharePoint itself through tablets and mobile phones etc., by straining posts and comments on a site feed and providing the ability to take part in all the conversations which are required.

It was initially available in some precise SharePoint configurations including SharePoint Server 2013 and Office 365 SharePoint Online, Newsfeed is a new tool that lets you see what’s going on in your organization throughout the day, as well as share your own ideas, updates and observations. While implementing practical solutions as a SharePoint consultant, the need to perform duplicate checks of different lists is a very common scenario.

Here is a real world example you may come across. Your client needs two lists, one to store regional information and one to store country specific information. The regional list, along with different information pertaining to a region, will also store an acronym for that region (e.g. EMEA, APAC, etc.). Similarly, the country list also will store the country acronym (FR, RU, IN, etc.) among other relevant country information. And this acronym data will be used in many places to accomplish many business requirements.

In most cases, we can easily utilize the OOB concept to validate the uniqueness of the columns. But to validate across different lists we need to provide some customization. We can achieve this in various ways.

In this article we will handle this validation through the event handler. We are assuming that a project from a SharePoint template is already created.

As shown in the image below, firstly we’re going to add an event receiver, select the list to which the event handler needs to work , check the item added and item being updated (as we need to validate during edits as well).

Please repeat this for the regional list as well.

Now we will write our validation code in the event receiver. Let us write for the “Adding” scenario first. In this code we will check if the acronym exists in the other list, if yes, we will cancel the addition. The code will be as shown below. Please update the column names as appropriate.

public override void ItemAdding(SPItemEventProperties properties)
{
base.ItemAdding(properties);

properties.AfterProperties["Country_Acronym"] = ((string)(properties.AfterProperties["Country_Acronym"])).Trim();
string newAcronym = ((string)(properties.AfterProperties["Country_Acronym "])).Trim();

if (!CheckDuplicateAcronym(properties.List, properties.ListItemUniqueId, newAcronym, "Ctry_Acronym", "Text"))
{
//check in Country Profiles list
SPList LegalEntityProfilesList = properties.Web.Lists.TryGetList("Country Profiles");
if (CheckDuplicateAcronym(LegalEntityProfilesList, new Guid(), newAcronym, "country", "Text"))
{
//cancel the event with error
properties.ErrorMessage = "Acronym already exist";
properties.Status = SPEventReceiverStatus.CancelWithError;
return;
}
}
}

The generic duplicate checking function
public static bool CheckDuplicateAcronym(SPList List, Guid ItemId, string NewAcronym, string AcronymFieldName, string AcronymFieldType)
{
bool bAcronymExists = false;
try
{
SPQuery query = new SPQuery();
query.Query = @"<Where>" +
"<Eq>" +
"<FieldRef Name='" + AcronymFieldName + "' />" +
"<Value Type='" + AcronymFieldType + "'>" + NewAcronym + "</Value>" +
"</Eq>" +
"</Where>";

SPListItemCollection items = List.GetItems(query);
if (items != null)
{
if (items.Count > 1)
{
bAcronymExists = true;
}
else if (items.Count == 1)
{
bAcronymExists = !(items[0].UniqueId == ItemId);
}
else
{
bAcronymExists = false;
}
}
}
catch { }
return bAcronymExists;

}

The code is written in such a way that you can reuse this function for any list or for any field type by passing the relevant parameters. Even this function will take care of the updating scenario duplicate validation.
Next we’ll write the updating part of the code, as shown below. In the updating scenario we will pass the unique ID of the item rather than new GUID which we passed in the above adding scenario.
public override void ItemUpdating(SPItemEventProperties properties)
{
base.ItemUpdating(properties);
properties.AfterProperties["Country_Acronym"] = ((string)(properties.AfterProperties["Country_Acronym"])).Trim();

string newAcronym = ((string)(properties.AfterProperties["Country_Acronym"])).Trim();
if (0 != string.Compare(newAcronym, properties.ListItem["Country_Acronym"].ToString(), true))
{

if (!CheckDuplicateAcronym(properties.List, properties.ListItemUniqueId, newAcronym, "Ctry_Acronym", "Text"))
{

SPList LegalEntityProfilesList = properties.Web.Lists.TryGetList("Country Profiles");
if (CheckDuplicateAcronym(LegalEntityProfilesList, new Guid(), newAcronym, "country", "Text"))
{
//cancel the event with error
properties.ErrorMessage = "the Acronym value already exist";
properties.Status = SPEventReceiverStatus.CancelWithError;
return;

}
}
else
{
//cancel the event with error
properties.ErrorMessage = "the Acronym value already exist";
properties.Status = SPEventReceiverStatus.CancelWithError;

}
}

}

That’s it! This event receiver can now be reused for duplicate validation of any number of lists.
